Case Study: Transforming School Sports Events with Liwarally
Project Overview
Managing annual school sports event has always been a complex task, involving students from grades 1-8, with assistance from older students in grades 9 and 10. Each year, the event challenges 40 groups, each led by a teacher, to compete across 20 different stations. The event’s success hinges on accurate and timely management, yet with up to 800 results to compile and evaluate, the process has traditionally been slow, cumbersome, and prone to errors.
To address these challenges, I developed the Liwarally app, a digital event management solution designed to streamline the entire process. Built using Bubble.io, the app was conceived, researched, designed, and implemented in just three weeks. With over 500 participants, including students, teachers, and organizers, the app needed to be both user-friendly and robust to ensure a smooth event from start to finish.
Challenges
Several key issues drove the need for a digital solution:
Complex Management: Documenting and calculating points for 40 groups across 20 stations resulted in up to 800 results, making it difficult to compile final results quickly.
Inaccurate Results: Inconsistent supervision led to questionable scores, undermining the integrity of the event and decreasing participant motivation.
Low Motivation: Without real-time feedback, participants would lose interest, reducing overall engagement and enthusiasm, leading to incomplete task participation.
Difficult Oversight: Identifying and addressing problems during the event was challenging.
Approach
My approach to developing Liwarally was guided by a deep understanding of the event’s unique demands and the need for a solution that would integrate seamlessly into existing workflows. Here’s how I tackled the development process:
Ease of Integration: The app was designed to fit effortlessly into the tight schedules of teachers and organizers. With a mobile-friendly interface accessible via smartphones and a scannable QR code for quick access, the app could be easily integrated without disrupting the flow of the event.
Considering the Tech-Savvy Spectrum: Recognizing that not all teachers are tech-savvy, I focused on creating an intuitive, user-friendly interface. The app’s simplicity ensured that it could be effectively used by everyone involved without the need for additional training.
Speed and Simplicity: Given the limited timeframe for deployment, the app was designed to be quickly understood and implemented. This allowed all participants, from students to teachers, to start using the app immediately, ensuring a smooth rollout and minimal disruption.
Error Prevention and Forgiveness: The app included built-in safeguards to prevent common errors and was designed to be forgiving, allowing easy correction of mistakes without compromising the integrity of the results. Simultaneously, security measures were put in place to prevent tampering with results, ensuring fairness and accuracy.
Balancing Security and Flexibility: To maintain a smooth, reliable process, the app featured locked final results and restricted access to critical features. This balance between security and flexibility was key to ensuring the event ran smoothly while allowing for legitimate corrections as needed.
Solution Architecture
Leveraging the Bubble.io platform, I developed a mobile-friendly app that could be accessed on students' and teachers' smartphones. The app featured distinct roles for group leaders, station leaders, and organizers, each with tailored functionalities to enhance event management efficiency.
Group Leaders could access live-updated tables to view results and points, boosting real-time motivation and competitive spirit.
Station Leaders could input and edit results for groups participating in their station’s task, with final results locked to prevent manipulation.
Organizers could oversee the live table and overall event progress, monitor each station’s performance, and manage potential issues as they arose.
The app’s UI was designed for simplicity, featuring tabs and a navigation menu that allowed users to quickly access the necessary functions. For example, station leaders had a clear, easy-to-use interface for entering scores, while group leaders could constantly monitor the live table to keep participants engaged and motivated.
Results and Feedback
The introduction of the Liwarally app dramatically transformed the school sports event:
Real-Time Problem Resolution: Two station issues were quickly identified and resolved, thus preventing compromised results.
Enhanced Engagement: The intuitive UI allowed station leaders to enter results efficiently, and the 9th and 10th graders enjoyed using a digital method over paper-based recording.
Increased Motivation: Group leaders regularly checked the live table, which kept students motivated and eager to complete all tasks.
Immediate Access to Results: Organizers could access results instantly, a process that previously took up to two weeks.
Valuable Insights: The accessible data provided insights into how to improve future competitions, becoming a topic of daily discussion within the sports management team.

The Liwarally app successfully addressed the challenges of managing a large-scale school sports event by providing real-time updates, reducing errors, and maintaining high levels of motivation among participants. The app not only streamlined the event management process but also set a new standard for future events. As we look to the future, there are plans to enhance the app with additional features for even more efficient management, ensuring that our school’s sports events continue to inspire and engage students at the highest level.
